E_SERVICES ON JRC WEBSITES

1. Description. An e-Service is made available on web pages in order to offer an online electronic registration for: ADAMAS. e_Services are tools on the internet websites of the Joint Research Centre (JRC) enabling a given research community (e.g. committee, working group, project group, etc.) geographically spread across Europe (and beyond) to maintain a private space on Internet where they can share information, documents, participate in discussion fora, download software, subscribe JRC publications etc. Your personal data will be collected and further processed for the purposes detailed hereafter under point 2.This processing of personnel data is under the responsibility of the Head of Unit Internal and external communication at the JRC. The Head of unit T.5 "Text and Data Mining" who manages the processing itself acts as personal data processor. The European Commission (hereafter 'the Commission') is committed to protect your personal data and to respect your privacy. The Commission collects and further processes personal data pursuant to Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data (repealing Regulation (EC) No 45/2001).

2. What personal information do we collect, what is the legal basis, for what purpose and through which technical means? Identification Data: The following information is required to be a registered ADAMAS user:

  • First name
  • Last Name
  • A valid e-mail address
  • A valid "EU Login" userid with registered cellphone number for two step authentication (Managed by "EU Login")

Other personal information (such as: title, position, name of organization, street name and number, postal code, city, country, e-mail address, website, phone, fax, preferred language, default language) is optional. Registration to ADAMAS is a manual process. Accepted users will first need to register to the European Commission’s "EU Login" service. Upon approval of the user’s request, the user will be asked to communicate the e-mail address used for registration to "EU Login". Based on the userid linked to this information the user will be granted access to ADAMAS. In order to become a registered ADAMAS user, users must agree to this Privacy Statement and to the terms and conditions of use available on the website. Legal Basis of processing:

  • Council Decision of 3 December 2013 establishing the specific program implementing Horizon 2020 - the Framework Programme for Research and Innovation (2014-2020).
  • Registration and participation of data subjects are provided on a purely voluntary basis.
  • Council Regulation (EC) No 2368/2002 of 20 December 2002 implementing the Kimberley Process certification scheme for the international trade in rough diamonds

Purpose of processing: The purpose of the processing of personal data for the e-Services is to provide secure access and information exchange, management of data bases, including management of: communications to users, reports, distribution of reports, information sharing within interest groups, etc. Technical Information: User data collected are stored inside a SQL database.

3. Who has access to your information and to whom is it disclosed? The access to all personal data is only granted through "EU Login" two steps authentication to a defined population of users. These users typically are: the Unit Head acting as controller of the processing of personal data, the system administrator of the software. Regular registered and approved users by default have no access to personal data of other users. No personal data is transmitted to parties, which are outside the recipients and the legal framework mentioned.

4. How do we protect and safeguard your information? The collected personal data is stored on the servers of JRC. All processing operations are carried out pursuant to the Commission Decision (EU, Euratom) 2017/46 of 10 January 2017 on the security of communication and information systems in the European Commission. The Commission’s contractors are bound by a specific contractual clause for any processing operations of your data on behalf of the Commission, and by the confidentiality obligations deriving from the transposition of the General Data Protection Regulation in the EU Member States ('GDPR' Regulation (EU) 2016/679 ).

5. How can you verify, modify or delete your information? Registered users have direct password-protected web access to their profile. Currently, registered users can only change their own password. Any other changes to their profile, including cancellation, must be explicitly requested in writing to the webmaster.

6. How long do we keep your data? The time limit for storing personal data is fixed to max. four years starting from the activation of their user credentials by the application webmaster. Registered users have password protected direct web access to their profile and can cancel their registration at any moment by submitting a request to the webmaster.
